Privacy policy

This policy explains how WTF Academy Online (“WTF Academy”, “we”, “us”), operated by WTF Gyms, collects, uses and protects personal data when you use online.wtfgymsacademy.com and our learning platform. We process personal data in line with the Digital Personal Data Protection Act, 2023 and other applicable Indian law.

What we collect

  • Account details: name, email address, mobile number and password (stored hashed).
  • Learning data: courses enrolled, lesson progress, quiz and exam results, certificates issued.
  • Practical and placement data: preferred city, practical-session attendance and evaluation, placement preferences you share with us.
  • Payment data: order and invoice records. Card, UPI and bank details are handled by our payment partner; we do not store them.
  • Technical data: IP address, device and browser type, and basic usage logs needed to run and secure the service.

Why we use it

  • To create your account, give you course access and issue certificates.
  • To schedule practical sessions at WTF gyms and, if you opt in, to refer your profile for openings in the WTF gym network.
  • To process payments, send invoices and handle support requests.
  • To send service messages about your courses. Promotional messages are sent only where you have agreed, and you can opt out at any time.
  • To keep the platform secure, prevent misuse and meet legal obligations.

WhatsApp: if you add a WhatsApp number when you sign up, we use it for account and course messages (enrolment, payment and certificate updates), and for course reminders only when you tick the box. Reply STOP to any message to opt out. For ad measurement, your number is shared with Meta only in hashed form. To deliver the messages, it is passed to our WhatsApp messaging provider and to WhatsApp (part of Meta).

Career Scorecard: if you ask for a call back on your scorecard result, we collect your name, mobile number, email address and city, your scorecard answers and the course it recommended. We store these only after you tick the consent box, and we use them to contact you about our courses by phone, WhatsApp or email. We also keep a one-way hash of your IP address to stop misuse; we do not keep the address itself. To have these details deleted, or to withdraw your consent, write to us at the address under “Your rights” below.

Who we share it with

We share data only with WTF Gyms entities and gym managers involved in your practical or placement, hosting providers who process it on our behalf, the payment and advertising partners listed below, and authorities where the law requires. We do not sell personal data.

  • Payments: payments are processed by Razorpay. Razorpay receives the details needed to take the payment; we receive the order and payment status, not your card, UPI or bank details.
  • Advertising measurement: we use the Meta Pixel and the Meta Conversions API (Meta Platforms) and, when enabled, Google Analytics 4 (Google). They receive the pages you view, the course you view, and sign-up, checkout and purchase events, together with your IP address, browser user agent and the Meta cookies _fbp and _fbc. When you sign up or buy, we also send your email address and mobile number as SHA-256 hashes (not in plain text) so Meta can match the event to an account. We use this only to measure and improve our ads.

Retention

We keep account and certificate records for as long as your account is active and for a reasonable period after, so certificates can be verified. Payment records are kept as required by tax law.

Your rights

You can ask to access, correct or erase your personal data, withdraw consent, or raise a grievance. Write to academy.admissions@wtfgyms.com and we will respond within the time allowed by law.

Cookies

We use essential cookies to keep you logged in and remember preferences. We also use advertising and analytics cookies: the Meta Pixel sets _fbp (and _fbc when you arrive from a Meta ad), and Google Analytics 4, when enabled, sets its own cookies. These are used to measure and improve our ads, as described above.
